Create and manage a trip
You need to sign in to create a trip. You become its accepted Owner. Only accepted Owners can edit trip details, change dates, archive or delete. Accepted Owners and Planners can change trip status.
Create a trip
- Open My trips and select Create trip.
- Enter a name, such as Maine coast. Add a description if useful.
- Enter the general trip location, such as Coastal Maine. This is separate from your departure location.
- Choose the start and end dates. For a one-day trip, select the same date twice. October 11–17, 2026 creates seven calendar days, including both endpoints.
- Choose the trip type and whether you are bringing pets.
- In Travel details, enter your start location and, if needed, a different end location. Select the option to end at the start location when appropriate.
- Enter initial and return travel-day counts if known. Counts must be nonnegative, and their combined total cannot exceed the trip's calendar duration.
- Select Create trip. Open the saved trip to add stops, stays, reservations, people, and activities.
Initial travel-day counts set selected day types when the trip is created. A positive return travel-day count reserves the final date for Going Home; that date cannot receive an itinerary stop. Earlier return-travel days remain eligible under the normal rules. See trip days.
Check creation access and subscription
- Open My profile to check account access, remaining free trip creations, subscription/payment status and monthly AI usage.
- If creation access is exhausted, use the subscription action when offered and review the price and annual renewal terms shown before completing checkout. If checkout is pending, use Resume pending checkout.
- Return to your profile to check confirmed access. A checkout return page alone does not establish successful payment; processing can take time.
- Use Manage Subscription / resolve payment for available billing and cancellation controls. Scheduled cancellation retains paid access through the confirmed paid-through date. Complimentary access does not automatically stop paid renewal.
Accounts have three lifetime free trip creations; paid or complimentary creation access preserves unused free credits. Archiving, deleting or cancelling a trip does not restore a used credit. Existing-trip permissions still come from accepted membership, and Planners and Members can collaborate without an Owner subscription. Billing controls depend on the site's payment configuration.
Edit trip details
- Open the trip overview and select Edit trip.
- Update its name, description, location, travel options, or travel details.
- Review the form and save it.
Use Change Trip Dates for date changes so you can review their effects before confirming. Changing the return-travel setting can require you to clear a conflicting final-day itinerary assignment first.
Change trip status
New trips start in Draft. An accepted Owner or Planner can select the Status button in the trip header, choose Draft, Planned, In Progress, Completed or Cancelled, and select Save. Members can view the status and history. Select Cancel or press Escape to leave it unchanged.
Status is manual and can move in either direction. It does not change dates, readiness, activities, reservations or archive state. Cancelled does not cancel bookings; contact each provider separately. Completed and Cancelled trips remain available through the usual date and archive filters. Changing status uses no additional trip allowance.
Open Status History to see recorded changes, who made them and your local time. Changes before this feature are not reconstructed. If someone else saves while the dialog is open, review the refreshed status before choosing and saving again. Any older saved status remains visible until you explicitly choose a new one.
Understand trip badges
Trip cards and headings show badges from saved records, including Needs Review, Tasks Due, lifecycle status, flights and trip characteristics. Expand +N to see hidden badges. Follow a linked badge to inspect the underlying records.
Review counts count records, so a rental and its linked reservation may each need review. Owners and Planners can also see pending planning suggestions; Members do not see those suggestion counts. Due tasks use the trip's planning time zone when available, otherwise the disclosed UTC date. A booking badge reflects saved booking records; it does not check a provider or establish overall trip readiness.
Add or change a trip cover
Accepted Owners and Planners can upload, generate, crop or clear a private cover. Accepted Members can view it. Covers are separate from trip-note photos.
Open the cover dialog
Open your trip and select the photo button beside its heading: Add photo or Change photo (also labeled Add Cover Image or Change Cover Image). The Trip cover image dialog has Upload Image and Generate with AI tabs. Both use the same crop preview and controls. On a smaller screen, scroll inside the dialog; Clear, Cancel and Save stay in its footer.
Upload your own image
- Select Upload Image and choose a JPEG, PNG or still WebP image.
- The usual maximum is 10 MiB; the site may enforce a lower limit. Unsupported, damaged or excessively large images are rejected.
- Position and zoom the preview, then select Save. The current cover stays unchanged until saving succeeds.
Generate with AI
- Select Generate with AI.
- Optionally enter Additional image instructions. You may leave it blank.
- Select Generate AI Image once. While Generating your trip cover image... appears, another generation cannot be submitted from the dialog.
- A successful result is immediately saved as your trip cover and shown in the same crop preview. No additional approval or Save is needed to apply it.
- Adjust the crop if you wish, then select Save to keep those adjustments.
ViaMore uses available trip name, description, general location, dates, trip type, important itinerary destinations and planned activities. Dates and location guide seasonal appearance. For camping or overlanding, assigned trip vehicles can influence the scene; vehicles merely owned by you are not included. Multiple vehicles and activities are kept secondary to avoid crowding the image. Cruises and city vacations emphasize the destination and experience.
The pets setting indicates whether pets are traveling; ViaMore does not currently store their species, breed, size or appearance. It does not invent those details. Supply a visual description in the optional instructions if you want a particular pet represented. Vehicle colors, accessories and other personal details also need to be supplied if you want them depicted; they are not inferred from missing data. Generated scenes are illustrations, not verified photographs of your booked stay or destination conditions.
For example: “Show our camper van beside a mountain lake with our dog, during sunset.” Instructions can guide atmosphere, perspective and emphasis. They are limited to 1,000 characters and are not saved into the trip description. They cannot authorize bookings, trip changes or unrelated actions.
Adjust crop and position
Drag the image or use Horizontal position, Vertical position and Zoom. The preview is 16:9. Focus a slider and use the arrow keys for smaller adjustments. Select Save to persist the crop. For an existing or generated image, this saves the crop of the current source without generating another image.
Cancel closes the dialog and discards unsaved uploads and crop adjustments. It does not undo a successful generation or Clear. If you close during generation, the request continues; the cover updates on completion. Reopening while it is still running shows its progress and prevents a duplicate submission.
Clear a cover
Select Clear in the footer to remove the active cover immediately and restore the default trip header. The dialog stays open. Cancel does not restore a cleared cover. Previous covers are not kept as an image history or offered for restoration.
Usage limits and errors
Generation requires an enabled image service, remaining shared AI allowance for the trip's owning account, and room within your personal monthly generation limit. Administrators configure that count limit; it is separate from trip creation credits and owner subscriptions. A subscription does not imply unlimited AI generation. Uploading, cropping and clearing do not generate an AI image.
Each admitted generation attempt counts toward your monthly image limit, including provider failures, timeouts and requests whose image cannot be saved. Requests rejected before admission for access, configuration or limits do not consume an image slot. The month follows the site's reporting timezone and resets at its next calendar month. A failed request can still incur provider usage. Generation that succeeds but cannot be attached still retains its recorded usage.
When the shared AI allowance is missing, exhausted or awaiting review of incomplete usage, the error explains how an administrator can review it. The personal count limit remains in force even if that shared allowance is unlimited. For provider unavailability, timeout, storage or invalid-image errors, the existing cover stays in place unless another editor changed it. If a connection is lost, close and reopen the dialog to check the saved cover before generating again. If someone changes the cover while your request runs, load the latest cover and review before saving again.
Refine a plan with AI
Plan with AI is available to accepted Owners and Planners when the site's AI service and account allowances permit it. Describe your preferences in the conversation; the former planning questionnaire is no longer available.
- Open an existing trip and select Plan with AI.
- Describe the places, pace, activities and overnight plans you want. Answer questions and refine the proposed plan in the conversation.
- Open Proposed Plan, then select Review and Apply Plan when ready.
- Inspect additions, before/after updates, unchanged arrangements, conflicts and unsupported notes. Resolve blocking issues; use Refresh review if the saved trip has changed.
- Explicitly approve the exact changes and select Apply approved changes. Check the shared trip afterward. Further refinements require another review and approval.
Your conversation, drafts and session history are private to you; only applied records are shared. Reloading resumes the saved session, and you can archive it and start another while retaining private history. Sending a message or generating a proposal does not itself change the trip. AI usage is metered; retries that call the provider again may consume usage.
Supported changes include itinerary stops, day text, planned stays and activities. Flights, rental cars, actual bookings and unsupported edits remain planning notes. Use their dedicated screens to save them. Omitted records are not automatically deleted, and confirmed/completed stays cannot be edited here. Change trip dates through Change Trip Dates, then send another message to refresh the planning context. The assistant does not verify live availability, prices or opening hours.
Review a trip and its experiences
Reviews are optional and private to you. You can write them while traveling or afterward; a trip does not have to be completed.
- Open the trip overview and find Trip Feedback, or open Navigator and choose Review beside an activity, overnight stay or itinerary stop.
- In the quick-review dialog, add a 1–5 star rating or a few words. You can leave the rating blank for a text-only review.
- Optionally choose Yes, Maybe or No for “Would you do this again?” Expand More about your experience for positive/negative tags, what you enjoyed, what did not work and what you would change.
- Select Save review. A reviewed indicator appears for that experience. Edit review reopens the same record rather than creating another one.
For a campground, review its saved overnight stay. Hotels and other accommodations use the same workflow. A multi-night stay has one review across its Navigator appearances. Standalone campground search results and calculated route lines are not separate review records.
Use Review this trip to record an overall rating, best part, biggest disappointment, changes for next time and whether you would repeat the trip. Overall feedback is separate from individual experience reviews. Delete this review removes its rating, tags and comments; deletion cannot be undone. If another window changed a review, copy your text before reopening the latest version.
Open Trip Recap
Open a completed trip to see Your trip recap, or choose Trip Recap on its feedback screen. A trip marked Completed is eligible. A trip whose end date has passed is also eligible when its saved planning time zone establishes the local date; a cancelled trip is not inferred complete from its date.
The recap uses saved locations, activities and overnight stays. Your positive notes become highlights, and the overall review's “What would you do differently?” becomes lessons learned. Progress counts existing experiences with reviews; it excludes the overall review and removed experiences. Skip for now hides an item until reload. Show skipped items restores it. Skips do not submit feedback, count as reviews or imply a negative opinion.
Let AI suggest preferences
- Open Profile → My Feedback, or use Analyze My Feedback for this trip in the recap.
- Select Analyze My Travel Feedback. This sends eligible written travel feedback to the site's configured AI service. Ratings alone are not used to infer preferences.
- Open Suggested Travel Preferences. Read what the AI learned, its explanation and supporting feedback.
- Choose Approve, Review evidence / Edit & Approve, Reject or Dismiss. Edit & Approve lets you adjust the wording, strength and scope before approving.
Nothing becomes active merely because the AI generated it, even at high confidence. A conflicting existing preference is never silently replaced: review the conflict and explicitly authorize replacement of the same key/scope, or edit memory separately. Reject and Dismiss both leave memory unchanged and suppress the same learned concept from being immediately proposed again.
Analysis processes a limited batch. Run it again if the result says more feedback remains. Unchanged feedback is not repeatedly analyzed, including when no suggestion was found. If analysis fails or is cooling down, your reviews remain saved; wait before retrying. AI usage is metered. Editing or deleting supporting feedback makes pending suggestions stale; it does not rewrite an already approved preference.
Manage My Travel Memory
Open Profile → My Travel Memory to see categories such as camping, driving, activities, accommodations, accessibility, food and travel style. Origin labels distinguish entries you wrote from approved AI suggestions. An origin link shows supporting feedback when it is still current and accessible.
Select Add preference to enter one yourself, or Edit on an existing entry. Give it a stable key such as campsiteprivacy, a value, Prefer/Avoid strength and a scope. General uses no scope value; trip type and season use the names shown in the form; vehicle scope accepts an ID for your own saved vehicle. Clear Enabled to stop using a preference without deleting it. Delete this preference removes it; repeating an old approval will not recreate it.
Override memory during planning
Open Trip → Plan with AI → Using your Travel Memory (or Travel Memory options when none applies). Inspect relevant preferences or follow Open My Travel Memory. In the modal, save overrides for this trip, select a season, ignore individual preferences, or disable personalization for your planning on this trip. These settings belong to you and do not edit global memory or another member's settings.
For one message only, check Do not use Travel Memory for this message before sending. Activity and campground searches have an equivalent search checkbox. Turning memory off also omits private trip override text. It does not erase existing conversation history; start a new planning session if you want a clean history.
Current instructions take priority over trip overrides, existing manual settings, approved AI memory and defaults, in that order. For example, ask for full hookups on this trip even if you usually prefer dispersed camping. Preferences cannot establish live availability, accessibility or amenities. Campground search only reorders supported provider-reported category matches; your filters and configured booking providers stay in force.
Privacy and shared trips
Only you can read or change your feedback, suggestions and travel memory. An invitation alone does not grant trip access: accepted membership is required to review a trip. My Feedback can still show your own saved reviews after access ends, but editing and new analysis require current trip access. Sharing a trip does not share your personal memory.
AI planning uses the initiating user's relevant active preferences, never another member's private memory. Conversations and explanations are private. Changes you explicitly review and apply become shared trip records, so inspect generated text before applying it. Removing a preference affects future requests; it does not undo saved trip plans. Deleting a trip removes its feedback/evidence and private trip overrides while independent approved preferences remain in My Travel Memory.
Archive or delete
- Open the trip overview.
- Select the Archive trip or Permanently delete trip action.
- Read the confirmation screen and confirm only the action you intend.
Archiving retains the trip; the directory has an archived-trip filter. Permanent deletion removes the trip and its related planning records. Neither action cancels bookings with providers.
The original creator must remain an accepted Owner. Ownership transfer is not implemented.
