Manage trip days and change dates

User guide index

Accepted Owners can edit trip days and change trip dates. Accepted Planners and Members can view the days. Activities, reservations, and tasks shown within a day retain their own permissions.

Edit a day

  1. Open Trip Days in the trip overview and expand the day you want.
  2. Select its edit action.
  3. Choose a day type and enter a title, location name, and notes as needed.
  4. To clear a saved itinerary assignment, select Remove itinerary stop assignment. This retains the stop and the day's other plans.
  5. Select Save day.

Example: give October 14 the title Coastal walk, add the meeting location, and put weather alternatives in Notes. A typed location name does not itself link the day to an itinerary stop.

Use the daily Navigator

  1. Open Navigator from the trip navigation, or Open Navigator from the Android trip overview.
  2. Select a date with the date strip, date picker or previous/next controls. Today is available when the current local date is inside the trip and a reliable time zone is available.
  3. Review the daily summary, all-day activities, timed schedule, Anytime items, tonight's stays and attention items. Open the underlying record to change it or resolve a warning.
  4. Check flight departures/arrivals and rental pickup/return on their saved local dates. Booking times retain their own zones; floating activities are not daily commitments.

Navigator brings saved plans together; reading it does not confirm a booking or clear review flags. It opens the first day before the trip, today during the trip and the last day afterward when the local date can be determined. Meals remain on the separate Trip Menu.

Export Navigator to PDF

  1. Open web Navigator, select a day, then choose Export to PDF.
  2. Choose Current day or Entire trip. Select maps, travel times and distances, reservations and notes. Notes start off; content choices are remembered in this browser.
  3. Select Generate PDF and wait for the download. Cancel or close the dialog to stop a pending request.
  4. Check the downloaded snapshot and generate a fresh copy after changing plans.

Accepted trip members with read access can export. Maps need saved coordinates and configured mapping services. Only available saved travel estimates are used; export does not calculate new routes. Missing maps or estimates still allow a text PDF. Email and reservation attachments are not bundled. Review the included booking details and notes before sharing the file. If export fails, try without maps; persistent failures need site support.

Read weather in day headers

The Overnight or Reservation summary sits beside the day's location. A single stay shows its overnight-type icon. Flight summaries appear only on days with a saved, non-cancelled departure or arrival, with the route, local time and airport time zone. An overnight flight appears on both endpoint dates; a same-day flight appears once.

When weather is enabled and a suitable forecast exists, Trip Days and Navigator show a compact weather link with an icon and forecast low/high, initially in Fahrenheit. Open it for the official National Weather Service forecast. The condition describes midday; the range comes from the complete day's hourly forecast.

Weather uses the day's saved destination coordinates, or a suitable overnight location if destination coordinates are unavailable. Typing a location name alone may not provide coordinates. Ambiguous locations, unsupported areas, expired results, slow services and dates without complete coverage show no weather. The U.S. provider generally covers roughly the coming week; today's partial forecast may be omitted. Missing weather does not mean clear conditions or a problem with your saved trip.

Rearrange daily plans

Accepted Owners and Planners can rearrange daily plans, even though ordinary day editing and whole-trip date changes remain Owner actions.

  1. In Trip Days, select Rearrange days.
  2. Review the groups of consecutive days at the same location and itinerary stop. Separate visits, unnamed days and the protected Going Home day remain separate.
  3. Use a group's up/down arrows or drag handle to move it past another group. All days in the group keep their internal order; intervening plans shift. This is a move, rather than a pairwise swap.
  4. Review the proposed order and warnings. Use Undo to remove one move, or Cancel to discard the draft. If correcting past plans, explicitly include past days; the cutoff uses the current UTC date.
  5. Select Apply only after reviewing the impacts. If plans changed since preview, reload and review again.

Calendar dates stay fixed while daily titles, locations, notes, day types, stop assignments, activities, meals and overnight-night assignments move together. Meal people counts stay as saved. Floating activities, task due dates, member travel dates, flight schedules and rental schedules do not move.

Linked reservations retain their actual dates, times and booking status and may be marked Needs Review. Review affected rentals and flights as prompted. A shared stay can end up covering nonconsecutive nights; inspect its exact assigned nights and gaps. Editing its arrival or departure later replaces those assignments with a continuous range. The final Going Home day remains protected.

Understand Going Home and eligible dates

A positive return travel-day count makes the trip's final calendar date Going Home, displayed as a Travel day. Your selected day type is retained, but no new itinerary stop can be assigned there. You can still edit the day and its other plans. A return count of two does not exclude two final dates; only the final date has this protection.

Initial consecutive selected Travel days also determine where itinerary allocation starts. The last day in that initial block is eligible. For example, October 11–17 with two initial Travel days and a positive return count has eligible dates October 12–16. Check the preview's eligible capacity rather than assuming every Travel day is excluded.

If an existing stop assignment conflicts with Going Home, review it and explicitly remove its day assignment before retrying the blocked action. A saved location with no assignment is preserved and may be flagged for review.

Resize a trip

  1. From the overview, select Change Trip Dates.
  2. Under Resize Trip, enter the proposed start and end dates.
  3. Select Review Resize.
  4. Inspect added or removed days, affected plans, reservation warnings, and blocking issues.
  5. Acknowledge each populated day being removed. Its day notes and metadata are removed and preserved in history; activities become unassigned and reservations are retained. Removed days also lose their meals and recipe copies, and generated shopping requirements are updated.
  6. Confirm that you reviewed the impacts, then select Confirm Resize Trip.

Resizing changes the range without moving existing itinerary dates. For example, extend October 11–17 to October 11–19 to add calendar days. Review final-day protection under the new end date before confirming.

Shift a trip

  1. Open Change Trip Dates.
  2. Under Shift Trip, enter a new start date.
  3. Select Review Shift. Check the calculated end date and each day's movement.
  4. Review effects on activities, stays, and reservations and resolve any blocking issues.
  5. Confirm that you reviewed the impacts, then select Confirm Shift Trip.

Shifting keeps the trip duration and moves the itinerary forward or backward. Moving October 11–17 to start October 18 gives a proposed range of October 18–24.

Trip date changes never change booking dates or booking status, or contact providers. A real shift flags all trip reservations Needs Review; resizing flags affected reservations. ViaMore creates or reuses an open reservation-review task when required. Review those bookings separately using the reservation guide.

If the trip changed since preview, reload and review a fresh preview. Do not repeatedly submit an outdated confirmation.
