Add and apply itinerary stops

User guide index

Accepted Owners and Planners can manage stops and apply the itinerary. Accepted Members can view it. A stop is a planning record for a place and a number of days; its day count is not a night count.

Add or change a stop

  1. Open the trip overview's Itinerary section.
  2. Select Add itinerary stop, or the edit action beside an existing stop.
  3. Enter the location and a positive whole number of days, such as Bar Harbor, 3. Add State/Province/Region and Country when known to help identify the correct place.
  4. Add notes. Select Optional stop if you want to keep the idea without allocating new trip days to it.
  5. Select Save stop.
  6. Use the up/down arrows to change stop order. Dragging is also available when enabled in the page. Use the remove action to remove a stop you no longer want.

The overview compares requested days with eligible itinerary capacity. Totals do not have to match. Optional stops do not count toward requested allocation.

Editing a stop's name, duration, order, or optional status does not automatically rewrite its existing daily assignments.

Apply stops to trip days

  1. Select Apply itinerary.
  2. Review each day's current and proposed location, excluded dates, and pending stops.
  3. If needed, move a complete new assignment using its grip handle or the Move whole stop starting on controls.
  4. Choose consecutive eligible, available dates. A stop cannot skip an occupied or excluded date.
  5. Select Apply to save the preview, or Cancel to leave it unapplied.

Existing assignments, day titles, notes, and overnight plans are preserved. Only new assignments change a day's location. Optional stops receive no new assignments. Once a stop has existing assignments, applying again does not fill extra days merely because you increased its duration.

Allocation stops at the first pending stop that cannot fit in full; that stop and later pending stops remain unassigned. Adjust the pending stops or extend the trip, then review again.

Example: for October 11–17 with one return travel day and no initial travel days, October 17 is Going Home. Bar Harbor for three days and Camden for two days fit within the six eligible dates, leaving one eligible day unassigned.

If you need to clear an existing assignment, an Owner can edit that trip day and explicitly select Remove itinerary stop assignment. See trip days.

Import stops from text

  1. Select Import from Text and paste the itinerary text.
  2. Select Analyze Itinerary.
  3. Review the extracted stops, original text, and warnings. Correct locations, notes, and positive whole-day counts. Uncheck unwanted rows.
  4. Mark optional stops where appropriate. Dates and stated nights are source context; they do not automatically supply day counts.
  5. Choose Append to itinerary to retain existing stops, or Replace itinerary to remove the existing stops after approval.
  6. Select Update Preview and review the proposed import.
  7. Select Approve & Import only after checking it, or Cancel import to discard it.
  8. Use Apply itinerary separately when you want daily assignments.

Analysis and preview do not change the itinerary. Review drafts expire and are lost on application restart. AI provider availability is not verified.

Read driving estimates between stops

The Itinerary shows a compact driving-estimate row from each Included stop to the next Included stop in saved itinerary order. Each row names its origin and destination, so an Optional stop displayed between them is not mistaken for the destination. There is no onward row after the final Included stop.

Optional stops are excluded even if they retain older TripDay assignments. To include one, an Owner or Planner edits it and clears Optional stop. Overnight plans and activities do not add stops to this sequence.

Saved valid estimates appear when the Itinerary tab opens. Missing or expired estimates are requested automatically after the main content loads, in limited batches. Opening another trip tab does not start itinerary routing requests. Reordering, adding, removing, including/excluding or changing a stop rebuilds the routes; unchanged routes reuse their saved estimates. Select Recalculate beside one route to request an update. A short cooldown or mapping request limit may ask you to wait. Failed routes do not retry continuously; use Retry estimate when appropriate, or improve an unclear location using the existing stop editor.

Retry estimate reuses a valid saved route if one has become available. Recalculate explicitly requests a fresh estimate and is subject to its cooldown.

Durations are estimates, such as 2 hours 15 minutes driving, and distances are currently displayed in miles. They exclude live traffic, parking and breaks. Route attribution appears beneath the itinerary. A missing location or Travel estimate unavailable message does not prevent using or editing the itinerary.

Travel estimates do not apply stops to days, alter day allocations, change trip dates or travel-day rules, or replace a TripDay's saved location. They are not navigation instructions or straight-line distances. Mapping services and limits must be configured; live provider availability is not verified.

Read the map

When configured and available, the map shows itinerary stops with usable locations. Its connecting line is a visual sequence, not driving directions. A missing or unresolved location may leave a stop off the map. The current trip map contains itinerary stops; do not expect every activity, stay, or reservation to appear. Live map availability is not verified.

Saved coordinates are used first. Missing coordinates can be resolved using the stop's location, state/region and country through the existing map controls or automatic itinerary travel estimates. Successful lookups are saved in the map cache and reused. If several places match, refine the location name, state/region or country and resolve again. A failed lookup does not remove your stop or prevent saving it.

Coordinates are managed internally and do not appear as editable or hidden form fields. Changing a stop's location, state/region or country clears its old coordinates; changing notes, day counts or ordering preserves them. AI Planning carries known state/country and reliable coordinates through your review and acceptance. Uncertain coordinates remain empty. Generating suggestions never adds them to the shared itinerary without your acceptance.
