Plan activities

User guide index

Accepted Owners and Planners can manage activities and discovery suggestions. Accepted Members can view activities. Activities are things to do; their status, daily schedule, and reservations are separate details.

Add an activity

1. Open Activities or an activity action within a trip day, and select Add Activity.
2. Enter a name, description, and notes.
3. Expand Additional details to add a location and select a Trip Day, or keep Not Scheduled.
4. Choose no time, All day, or a start time and duration. Timed activities require both a start time and a positive duration in minutes.
5. Choose a status. Select Planned to accept an activity whose current status is Suggested.
6. Add estimated cost and currency if useful, then select Save Activity.

Example: save Kayaking as Not Scheduled while choosing a day. Later, assign it to October 14 with a 9:00 start and 120-minute duration.

An activity without a day is a Floating Activity. Saved times are preferences until it has a day. Choosing Planned does not book anything or assign a date. All-day activities cannot also have timed details.

Assign, move, or unschedule

1. Open the activity's Assign to Day or Move to Day action.
2. Choose a trip day, or Not Scheduled to make it floating.
3. Select Save assignment.
4. Review any linked reservation for date mismatches.

Moving or unscheduling preserves time preferences, status, and reservations. To link an existing booking, use the activity's reservation management action or select the activity while editing a reservation. A reservation already linked to an overnight plan or another activity cannot simply be added as a second link.

Check travel time to another activity

1. Select Travel time to next activity from an activity in the list, daily view, Navigator, or Activity Details. The action appears when a destination is available.
2. When the next timed activity is unambiguous, it is preselected. Choose a destination yourself for untimed, all-day or tied schedules. For a Floating Activity, choose another activity from the same trip.
3. Select Driving (the default) or Walking, then Calculate.
4. Read the estimated duration and distance. Recalculate requests an updated estimate; a short cooldown may ask you to wait.

Tied start times elsewhere in the day do not prevent preselection when your origin and its immediate next activity have unique start times. If an activity changes while an estimate is being calculated, reopen travel time and calculate again. Cancelled activities are excluded, matching the Navigator's schedule.

Opening the dialog does not calculate. Changing the destination or mode clears the previous result. Assigned activities only offer destinations on that same trip day; travel time never automatically continues to a later day. Missing or ambiguous locations require more detail. Owners and Planners can use the offered location-edit link; Members can calculate and can ask an editor to improve a location.

These are Estimated travel time values, excluding activity duration, parking, breaks and live-traffic adjustments. They do not move activities, change schedules or modify trip dates. Estimates reuse saved routes where available and depend on configured mapping services and limits. Live provider availability is not verified.

Discover activities and events

1. Select Review activity suggestions from Activities, or use a discovery action for the trip or a specific day.
2. Open the discovery search, enter any additional request, and select Discover Activities.
3. Review results and use Review details to inspect source information, dates, costs, and warnings.
4. Select a day if offered, or retain a floating activity.
5. Select Add to Trip to create a Planned activity, or Dismiss suggestion.
6. Open the created activity and check its timing and notes.

For example, search for a short outdoor activity near Bar Harbor. Search results remain suggestions until you add one. A trip-wide result added directly without choosing a day stays floating. Source timing is used only when a start time and duration fit the selected day; other information is retained in Notes.

Discovery depends on configured search and AI services. Live availability, event accuracy, prices, and booking availability are not verified; check the source before relying on them.

Remove an activity

1. Open the activity's removal action.
2. Read the confirmation and confirm removal if intended.

Removing an activity preserves its reservation records and clears their activity link. It does not cancel external bookings.
